Job Description: Accounting Assistant

Location: Blue Mountain Hospital

Reports To: Finance Manager

Position Type: Full-Time


Job Summary:

The Accounting Assistant provides essential support to the Finance Department by

performing routine accounting functions, data entry, and clerical duties. This role supports

the Senior Accountant and Finance Director by ensuring accurate financial processing,

maintaining organized records, and assisting with departmental operations. This position

requires flexibility to perform primary job functions as well as additional tasks or special

projects as assigned by leadership to meet organizational needs.

Responsibilities:

Primary Role

  • Entry-level accounting support role focused on accounts payable, clerical functions,

  • reconciliation support, and data accuracy.

Accounts Payable

  • Enter invoices into the Intacct Finance system with accurate coding and departmental

approvals.

  • Assist with preparing AP documentation for weekly check runs and ACH payments.

  • Track vendor statements and follow up on outstanding items.

  • Maintain organized electronic and paper files for all AP records.

Non-Patient Revenue and Cash Receipts

  • Create non-patient revenue invoices in QuickBooks and Square and distribute them as

required.

  • Track incoming payments, post checks into Intacct as cash receipts, and maintain related records.

  • Prepare daily and weekly deposits, including food service deposits, and ensure oversight of deposits to the bank while maintaining separation of duties.

Credit Card Processing

  • Assist with the credit card process. Collect, enter, code, and upload credit card receipts into Visa Commercial Solutions, and ensure timely submission of receipts from staff.

Banking and Reconciliations

  • Support monthly bank reconciliations by gathering documentation and preparing schedules

General Ledger and Reporting

  • Maintain well-organized supporting documentation for GL accounts.

  • Provide support for cost report and audit data gathering, external audits, and other required reporting.

Administrative and Operational Support

  • Answer vendor and staff inquiries regarding invoices, payments, and account status.

  • Assist in ordering office supplies and non-stock items.

  • Provide clerical support for procurement-related tasks and assist with PO tracking.

Training and Development

  • Develop proficiency in Excel, Gmail, and Microsoft Office applications.

  • Cross-train in key finance functions to provide coverage when needed.

Qualifications:

  • Basic understanding of accounting procedures and office practices.

  • Experience with accounts payable or bookkeeping preferred.

  • Proficiency with Excel, Word, and Gmail.

  • Ability to learn Intacct Finance and QuickBooks software.

  • High school diploma or GED required; Working toward a degree in accounting preferred.
